A. General purpose of the position:
- Ensure all employee benefits such as SI, HI, UI, Vietnam Care, medical insurance & personal accident insurance, expatriate allowance and other employee benefits are managed and executed in line with the company policies, employee’s employment contract and related regulations
- Ensure all requested reports are accurate and on time
- Ensure all related documents are managed in proper way for tracking.

B. Key duties and responsibilities:
1. Trade Union, SI, HI UI & other compulsory insurance
- Generate SI, HI, UI monthly reports including new SI, HI, UI joiners, resigned employees, adjustment, promotion or salary change employees to SI,
- Prepare & submit supporting documents to SI, HI, UI including employment contract, salary adjustment decision, declaration form
- Conduct monthly, quarterly reconciliation with SI, HI, UI
- Perform all SI, HI, UI administrative procedures such as: collect & return HI card of terminated employees within 10 first days of the month, adjust employee’s personal information on SI, HI, UI system; adjust employee’s SI, HI, UI history; close employee’s SI book, deliver HI card to employee
- Provide guidelines & support to employees on SI, HI, UI benefits
- Respond queries from staff regarding all SI, HI, UI benefits
- Provide statistics, reports of employees’ insurance & benefits expenses upon request
- Make & send the list of employees who are entitled to SI, HI, UI benefits to SI, HI, UI
- Coordinate with Payroll Officer to pay employee SI, HI, UI benefits & deduct salary for leave without pay.
- Generate monthly SI, HI, UI & other benefits expenses to Finance & Accounting
- Coordinate with Finance & Accounting to pay monthly SI, HI, UI & Trade Union fee.
- Ensure all related documents are archived properly for tracking
- Manage SI books

2. Medical Insurance & Personal Accident Insurance
- Update monthly changes (new employee/ terminated employee) to Insurance Company (ensure all employees are insured on time as current policy)
- Updated & manage Master list of insured employee, employee’s family members
- Create master file to manage insurance expenses & payment schedule
- Provide guidance to employees on insurance policy & assist them on insurance claiming
- Provide insured employee list to FV Insurance team
- Ensure all related documents are archived properly for tracking

3. Employee benefits
Be in charge of all tasks related to employee benefits (relocations, housing allowance, school fee, annual leave tickets and other benefits) including:
- Coordinate with Finance & Accounting to estimate, manage & reconcile employee benefits budgets & expenses
- Provide guidance to employee on FVH benefits policies
- Coordinate with HR Admin Clerk to facilitate employee’s benefit requests
- Manage employee’s benefits budget and inform Payroll officer to deduct over budget from employee’s salary
- Ensure all employee benefits are executed in line with the policy and employee’s employment contract
- Provide statistics, reports of employees’ benefits expenses upon request
- Ensure all related documents are archived properly for tracking

4. System development
- Make proposal on development of employee benefit data management system; insurance data management system
- Develop related policies and procedures
- Update related law system

5. Other assigned tasks
- Perform other tasks as requested by Line Manager
- Back up other team members
- Participate in assigned departmental projects

C. Working relationships/ Quan hệ làm việc:
1. Department: C&B/Administration
2. Report to C&B/ Admin Manager
3. Interaction with:
- Internal: All departments
- External: Social and Health Insurance, Insurance Companies

Yêu cầu công việc

1. Qualification: University graduate,
2. Experience: At least 2 year experience in the same position
3. Skills and knowledge:
- Sound knowledge of insurance, labor law and related regulations
- Good at logical thinking & analyzing
- Detail-oriented, service-oriented, high sense of confidentiality
- Proficient in Microsoft office and other related software
- Good at communication & problem solving skill
- Good at document management
4. Foreign language(s): Good at English (speaking & writing)
