Admin Assistant (Cum Receptionist - HCM)

* Job Scope:
- Administrative assistant is the person who provides administrative support to the office which is helpful in running the office smoothly. This administrative assistant works under the supervision of administrator and at the end of the day he needs to report to the administrator without any fail.
* Key tasks:
* Reception:
- Greeting visitors, offering them refreshments and directing them to the right person.
- Answering calls and taking messages.
- Receiving fax/scan document and distribute to receiver.
- Ensure office clealiness and safety.
- Update contact list of all RSC and stores
- Receipt of courier parcels then deliver to correct receivers.
- Follow up with the building to issue parking card for emloyees
* Office Administrative tasks:
- Assist HRA Manager/Admin supervisor to control payment requests of office expenses such as utility of electricity, water, office rental, telephone, fax, mobile phone, stationery, taxi fee, refreshment and others. Update monthly report for post cost, taxi fee related to all departments.
- Maintain office department, pantry equipment.
- Organize/assist the Company's functions and other celebrations, events.
- Assist employees in office as per request so that they can save their valuable time for business.
- Assist all Department Heads and staffs for travel logistics such as book air ticket, hotel, airport pickup, transportation for employees and visitors to PHV.
- Follow-up and tracking the payment for the hotels and travel agencies.
- Assist all Department to order stationery/ equipment/ water and follow-up the deliveries.

* Document Control:
- Keep and provide the true copies of Business licenses.
- Manage the filling, storage and security of admin documents.
- Tracking all contracts and in charge for renewal.
- Assist Expat for renewal Visa and work permit, President card.
* Orther Task:
- Assist Admin Supervisor to contact Building Management when office has problem of electric, water, air conditioner, parking …etc
- Be acting for Messenger to send urgently document from RSC to stores when he is absent.
- Other task assign by HRM

* Education:
- Bachelor in office management, administration or related field
- At least 1 year experience
- Female, 22 – 25 years old
- Good Computer skill, good English (reading & wiring).
- Detail oriented, teamwork, problem solving and willing to learn new things
- The ability to stay calm under pressure
- A good memory for faces - regulars like to be remembered
- Self-motivated and able to use initiative
