I. THE MAIN TASKS/DUTIES

1. Executive management and responsible work to following general/administrative activities:

1.1. Management of company asstets (office supplies, air conditioners, water consumption)

  • Making the rules, guide lines of usage of all furniture & fittings included building maintenance, air conditioners, drinking water, water and electricity consumptions economiccally.
  • To work with accounting, IT helpdesk to collect information/statistics, set codes for all assets such as printers, coppiers, tables and chairs, telephones, cell-phones, and other office equipment & tools that belonged to admin – general affairs and must make report to supervisors every quaterly.
  • To monitor and guide the cleaners,guards to turn off the lights, air conditioners,.. after working hours in order to ensure safety in fire fighting, saving consumptions and good working order of all such equipment.

1.2. Cleaners’ management:

  • To review the Job descriptions of cleaners, making KPIs, assigning daily/monthly percific tasks for them, checklist for management. to ensure they meet 5S hygience requirement at office, fctory sites.
  • Carrying out the general higence in front of the company, factory and other places each 06 months or yearly as actual requirements.
  • To check, remind all employees who must follow the higence rules, do not litters as 5S standard higence as ISO 14001 requirement.

1.3: Mamangement of fire fighting activities, Safety- Heath- Environment (SHE)

  • Periodically carry out the fire fighting, preventing and rescure activities at the company.
  • Making the envirionment impact report as current law required.

1.4: Canteen management

  • To carry out the registration for approval of foods safety, chef, … when organizing the cooking at canteen or hiring the cooking contractor to offer meals for our staffs
  • To issue the regulations, procedure and its forms, checklist to control all activities of food hygene and safety at the BTi canteen.
  • To control the foods, materials such as rice, eggs, vegetable, … that received daily from foods contractors (if the canteen is established & cooking).
  • Check the signing of the cooking contract with the contractor (if any) to ensure that the quality of food does not occur with food poisoning and that the raw food ingredients are always fresh and originated at prestigious supermarkets; to ensure the raw food ingredients coming from a reliable supplier to enter the company to use at canteen.

1.5: Management of administrative staff, car/drivers’ team, daily administrative costs.

  • To Issue regulations, rules on management of business vehicles, regulations on delivery and receipt of documents, regulations on controlling customers / suppliers / employees of the company to access and protect scientific gates, with a clear process. having clearly responsible for the guard / receptionist ... do not let strangers come in and out of the company without control, let strangers invade the company, causing disorder and disorder in the company. Drafting other administrative regulations…. and check and control the performance of the administrative / receptionist in accordance with the regulations of the dispatcher, authorization must be given in serial numers, and other administrative regulations ... in the company scientifically strictly can be controlled later.
  • To manage all services, administrative contracts, outsourced services, included work permit, visa and other legal documents for BTI’s expats.
  • To list all administrative costs of car team usage, telephones, cell-phones, airline tickets, hotel bookings, office supplies, drinking water, water and electricity consumptions and other expenses that related to maintenance at office or factory monthly.
  • To analyze all the unusual fluctuations in administrative costs, explain to the boss about the sudden changes in expenses (if any), analyze and propose options and solutions to reduce all administrative costs. improve the norms of consumable supplies and utilities in the direction of minimizing administrative costs for the company.
  • To set up the KPIs, objecties for daily task operations of all administrative staffs.

II. ADDITIONAL TASKS:

2.1. To support the Administrative staff to carry their assigned jobs as orders from CEO.

2.2. For internal: carrying out all company regulations or rules, creating good relationships among functional departments of the company.

I - EDUCATION & SKILLS REQUIREMENTS (MINIMUM) :

  • Educational level: University degree or higher. Quite good Spoken English is amust.
  • Experience: at least 03 years or more experience in the Admin / General Affairs manager.
  • Having ability to monitor, check the admin – general activities, having klowledge in SHE, ISO 14000, 5S, Kaizen are preferred.
  • Having good skills in computer, ERP or SAP system.
  • Having systematic thinking/mindset, the ability to analyze, synthesize and solve problems creatively and effectively.
  • Having communication, presentation, organization, leadership, coaching staff.
  • Having good health to ensure working long term to contribute for the company.
