ADM: Stationary, cartridge, admin document, Office facility (60%)

  • Make monthly payments for expenses of Saigon office and other sites such as utilities, fixed phone and Internet, parking fee, phone card, cellphone charge, taxi, courier, drinking water, cleaner salary, office car rent, fuel, car wash and toll-fee.
  • Make monthly purchase order (PO), payment request, good receipt (GR) cash advance and accrual report.
  • Control postage, receive call and transfer to right person.
  • Assist new comers: hand over entrance card and key door, register motorbike parking and JLT health insurance, set up email address and username.
  • Contact IT team for IT issues.
  • Order stationery, cartridge, toiletries, refreshments, fruits for office when necessary and for sites quarterly; Manage cleaner and car driver in order to ensure their good working performance and office is always clean.
  • Quarterly tasks include birthday voucher, carpet cleaning, air conditioner cleaning, and office rent payment.
  • Annual tasks include health checkup, photocopier rent, Tet vouchers, seniority gifts …
  • Book air ticket, hotel for managers and claim their business trip costs.
  • Support sites in printing, ordering stamps and printers.
  • Be responsibility for health insurance with JLT: update in/out list every month, collect claim documents, distribute insurance cards to employees.

Recruitment (30%)

  • Handle all jobs in the recruitment process: Follow up the recruitment plan, searching candidates, creating and posting job advertisements, short-listing CVs, organizing tests/interviews.
  • Develop and update all procedure/process related to recruitment.
  • Search and identify reliable service provider(s) for recruitment & selection services.
  • Ensure all aspects of the new hire process are timely, accurate and lead to a positive experience for all involved.

Other tasks required by HR MNG/ GD (10%)

  • University Degree
  • At least 1 year working experience in similar position
  • Good analytical, planning, organizing and problem solving skills
  • Detailed-oriented, trustworthy
  • Good knowledge of Microsoft Office Applications
  • Be able to communicate both in English & Vietnamese
