Key responsibilities
• Be responsible for all Admin-related matters of the office from Admin perspective
• Develop/Create procedures and policies for office activities
• Manage office documents and licenses to prepare necessary supporting documentation upon staff's request
• Monitor office monthly expenses, ensure that expenses reports are timely submitted to Finance
• Search for goods/services suppliers with the best merchandise at the lowest possible cost
• Supervise office Maintenance, Cleanness, Safety & Security
• Supervise admin staffs, receptionists, messengers, driver and tea lady to ensure the office operation works well.
• Keep track/ monitor property insurance, fixed asset, automobile and vehicle liability insurance
• Process medical insurance, business travel insurance for local/ expatriate
• Support admin manager to annually update and review the Admin budget and Capital Expenditure budget in the format
• Organize logistics for the firm's events such as Management meetings, dinners in peak season and other events if any
• Mobile phones arrangement for Expat staff & Management team (P&D)
• Other duties as assigned by the Admin Manager

Yêu cầu công việc

Qualifications
• At least 4-5 years’ experience in HR, Secretariat/Administration role
• Proficient in all aspects of Microsoft Office applications (Excel, Word, PowerPoint, Outlook)
• Excellent time/people management skills
• Strong communication skills in English & Vietnamese both written and verbal
• Effective organization skills and ability to manage multiple tasks, strong attention to detail
• Ability to drive collaboration and communication between teams
