Key Internal Relationships:
1) General Director
2) Finance Directors of the two Owner Companies
3) Chief Accountant
4) other Company Management Group (CMG) members; Commercial Principal (CP), Design Director (DD), Design Principal (DP)
5) Senior Architects, Engineers, Project Managers

Primary Purpose of the Post:
firstly; to manage the company’s business reporting to the satisfaction of the General Director and the Finance Directors of the two Owner Companies,
secondly; to manage the company’s business data collection, collation and accuracy,
thirdly; to coordinate the procurement and administration of Company’s contracts with clients, from tender to completion.

1 Business Reporting
Ensure that the Owner Company Directors, the General Director, and the Company Management Group have accurate company business information on a regular basis;
- manage the production of monthly business reports, collating and coordinating data from the Accounting staff and the Company’s bespoke ERP (enterprise resource planning - business management) system, presenting the information with clarity and accuracy, including
- current and anticipated P&L
- current and anticipated NSR
- current and anticipated expenditure
- cashflow
- labour resourcing

2 Project, Finance and Resource Data Management
Manage the collection and collation of the data necessary for the production of the monthly reports, challenging the data to ensure its accuracy.
Working with the relevant staff;
- ensure all staff record their hours correctly onto the ERP system
- working in conjunction with the Project Managers (Architecture and Engineering) ensure that all projects are correctly recorded and updated on the ERP each month,
- working in conjunction with BD (Business Development) staff, ensure that all opportunities are correctly recorded and entered onto the ERP system,
- working in conjunction with the Chief Accountant, Finance staff and Project Manager, ensure that regular cashflow information is collated,
- working in conjunction working in conjunction with the Project Managers (Architecture and Engineering) ensure regular current and future labour resourcing data is collated.

3 Contract Administration
3.1 Work in conjunction with the finance department to ensure that the company receives payment in-line with signed Contracts.
- Advise Project Coordinators on the requirements of the contract in terms of delivery, so that they provide the relevant drawings and documents to the Client on time,
- Ensure all procedures for correct delivery and recording of delivery are carried out
- Coordinate requests for payment and invoices from Accountancy staff
- Meet and Coordinate with Client staff, Client Representatives and Bank officials to meet requirements to facilitate payments.
3.2 Manage Contract Variations
- With the technical support of Project Coordinators, manage variations in line with the terms of the contracts
3.3 Contract Changes
- Manage any necessary changes to the contract, including renegotiation of clauses and terms when necessary, for approval of the CP and GD.
3.4 Contract Completion
- Coordinate with the Project Coordinators and Accountancy staff to carry out all necessary procedures to close out the contract.
4 Meeting Management
Run regular meetings with Senior staff, including;
- Weekly planning meeting
- Monthly business reporting meeting cycle
ensuring meetings are accurately minuted
5 Other
- Undertaking of any other tasks to deliver the company’s objectives, which are reasonably in line with the level of the post.

The post holder should:
1 be strongly self motivated, and able to work without supervision and support
2. be conscientious and able to carry out complex tasks diligently, meticulously and efficiently,
3. be able to prioritise tasks, and work on numerous tasks simultaneously,
4. have a background in Finance / Business Management, and work experience in a development / real estate / construction / design field.
5. have understanding and experience of procurement and project contract administration activities, in construction / real estate development, ideally from both international and Vietnamese, and both public and private sector perspectives, including but not limited to; tendering procedures, contract negotiation, warranties, certification and claims, variations, defects liabilities,etc.
6. have understanding and experience of project management, in particular of project design activities (masterplanning, architecture, engineering etc).
7. have a relevant degree level qualification (finance / business)
8. be fluent in written and spoken Vietnamese
9. have excellent spoken and written English language skills,
10. be able to write clear, concise, and logical reports, both in Vietnamese and English
11. be skilled in the use of the core Microsoft Office suite of programmes, in particular word and excel,
12. be a good team leader and player,
13. be flexible and be able to work outside normal office hours if necessary.
