We are looking for an Office Admin to participate in HR & Admin activities and contribute to Company operations, and business growth, with the ultimate goal of maximizing profit for the company.
The Office Admin is responsible for assisting the HR Department related to the works of human resources & administrators, ensuring that all jobs are completed on time, smoothly, and effectively. and maintaining all parties’ satisfaction.
Specifically, an Office Admin’s common tasks are as follows:
Admin tasks:
• Working with the building management on jobs related to office administration.
• Working with state agencies to complete legal documents for the company: changing the location of business registration, changing the company's name, other legal documents, etc.
• Calling center, customer service, booking flights and hotels, working with the state management agencies to provide visas, passports, etc.
• Working with the social security agency to settle the regime of employees (health care, sickness, maternity, labor accident, etc.).
• Working on petty cash, invoices, and receipts and reporting monthly to the Finance Department.
HR Assistant tasks:
1. Directly implement recruitment activities, including:
• Receiving, classifying, and managing candidates' records.
• Taking part in consulting and coordinating with the function department to interview candidates. Organizing candidates to take the test of professional skills according to the company's process.
• Support the freelancers/vendors’ contract process and update a regular tracking database for language pairs if necessary.
2. Following up, drafting, and signing contracts for employees when the date expires, employee’s resignation.
3. Following the Company’s discipline and culture, attendance record, and annual leave of employees.
4. Organizing Company’s internal events, employee birthdays, and meetings. You purchase office supplies, stationery, drinking water, tools, etc.
5. Other jobs are assigned by HR Director.
Yêu cầu công việc
• Bachelor’s Degree in HR/ Administrative management is an advantage.
• Experience in the same position; basic HR & Admin knowledge is preferred.
• Experience working in the translation & localization industry is a plus.
• Good command of written and spoken business English; comfortable communicating with foreign clients via email, phone calls, and virtual and/or in-person meetings.
• Ability to communicate effectively with authorities and service providers.
• Possess a true willingness to help people.
• Ensure high confidentiality towards staff personal information, staff compensation plan, and company plan.
• Able to work effectively within tight timelines and different time zones.
• Computer skills: Good at MS Office (MS Word, Excel, PowerPoint).
