  • Execute HR approach for Visitor Management, Transport Management and office events/activities
  • Visitor Management – Manage the overall visit plan, prepare necessary logistics and accommodation as required in collaboration with other PAs.
  • Transport Management – Main POC with vendors, to ensure that transport needs for all groups of staff are effectively met according to HR guidelines and policy.
  • Office Management and Administration – Ensure that office supplies are stocked and place orders whenever necessary. Execute office duties such as: ordering of name cards, locker management, issuing of helmet, raincoats and uniforms to employees, manage stock levels for these items
  • Meeting Room Management – Ensure that meeting rooms are set up according to guidelines and necessary actions are taken to restore meeting rooms after each meeting
  • Support coordination for all company events – not limited to location sourcing, PR/PO etc. Provide support on F&B arrangements for internal events and meetings
  • Handle PR/PO and Payment matters for all services related to HR vendors and office supplies
  • Collaborate with HR to identify improvement areas and implement solutions
  • Administrative support to Country Manager; main focus on calendar and expense claims management
  • Create and update records/databases for administrative purposes
  • Design and implement office guidelines, standards and procedures to ensure clean and conducive work environments
  • Budget management for office supplies and administrative expenses
  • Translation for CEO's or local Management's speeches and memos from Vietnamese to English and vice versa
  • In addition to the duties listed above, the position holder must carry out tasks assigned by his/ her superior that are essentially related to his/ her duties

  • A degree in Business Administration or relevant field is preferred
  • Proven experience as an office administrator
  • Well organised and has a "can-do-attitude"
  • Good team player, able to establish rapport with internal and external stakeholders
  • Good communication and great attention to details
