Administrator:
- Oversees office activities including building facilities management, maintenance, office assets purchasing, cleaning and security services, printing and stationery supplies, telephone and office equipment, mailing and messenger services

- Conducts special investigations and studies to determine comparative costs in usage various office equipment. Assist in review regularly suppliers and vendors contracts and negotiates for better group discounts and identifies savings
- Assist the supervisor in preparing the annual office expenses budgets and early estimates.
- Manage all of labor contracts, service contracts and office license - - Provide support in human resources duties
- Liaise with compliance agents
- Manage monthly expenses of the office
- Manage staff attendance and activities.

- Do thorough research to cultivate insights in preparation for the idea direction.

1) General Administration:
- Provide translation when required
- Provide administration activities including, order business card, office refreshments, supply others, any employee related activities, arrange air ticket & accommodation, and necessary paperwork for expats to visit/work in Vietnam, airport passes etc.
- Liaise on & handle all administration tasks with external suppliers and vendors (ex: teambuilding, YEP…ect).
- Take responsibility on the payment management (such as office rental, visa, taxi, drinking water, courier, stationery, airfare, employee related activities expense, any supply others, etc.)
- Support to arrange annual health check for staff yearly accordingly - Provide monthly report (petty cash replenishment)

2) HR Areas:
• Recruitment & Training Support
- Source manpower needed through newspaper, labor agencies, and other institutions. Contact with searching agencies to receive profiles, screening and recommend to relevant level and arranging interview when required.
- Organizing company events, meetings, trainings, employee rewards or other activities.
- Provide all arrangements for new hires, e.g. workstation setup; stationary and other administration arrangements when required.
• C&B support
- Support to handle employee uniforms in line with the approved budget.
- Manage attendance record, annual leave tracking for supporting staff in Hochiminh.

- Work Experience: At least 4 years of experience in administration and/or secretarial role.
- Outstanding organizational skills and meticulous attention to detail.
- Highly energetic and super organized.
- Adapting myself to new surroundings quickly.
- Able to handle confidential information in a professional manner.
- Fluent in English (both oral and written).
- Can work under high pressure and confidently.
- Proficient in using MS stools, including Excel, Word & PowerPoint.
