(The company produces Aluminum and glass product such as curtain walls, doors,…then cooperates with investors, architects and contractors to construct beautiful and modern buildings.) Administrative and Secretarial duties:
• In charge of managing effective administration of business etiquette & travel; professionally organize and assist in meeting to establish good relationship with partners.
• Manage Chairman’s account email and maintain correspondence and confidential document filing. Draft and review the written documents (announcement, decision,..) before issuing/publishing.
• Liaise information between BOD and other Head of Department: keep track and collect, consolidate
reports/explanation/….
• Maintain updated personal information of BODs; store notarized copy.
• Organize and update all signed documents in BOD’s database.
• Research and evaluate, coordinate with suppliers relating to BOD’s requested service.
• Take role as an Admin Supervisor to back up vacancy in 3 months (Dec 2019-Feb 2020) then continuously supporting to maintain operation of office: lead Admin team of more than 10 people including general admin, receptionist, HSE, driver, cleaner,…to manage all Admin workload and office & construction sites ’s expense. Executive Support to BOD:
• Provide advising opinions for important business projects to BOD for its decision making process
• Implement the standard requirement for all the document and train the staffs to improve quality
• Finalize and proofread documents related to investors/suppliers and contractors/subcontractors: construction contract, procurement and service contract, explanation letter, payment request letter, completed bill of quantity, quotation, PO-PR,... before submitting to BOD for signing.
• Build up SOPs for Executive Office of BOD and Administrative Procedure.
• Coordinate with internal control division to monitor compliance.
• Take role as a Legal Specialist to back up vacancy in 3 months (March 2020 - May 2020) then continuously supporting the huge workload: store and keep track all legal documents of company,
documents preparation for the lawsuit petitions, draft bilingual Power of Attorney and other regulation documents, negotiate and revise House Leasing Contract valued 2 million dollar,… Take responsibility for HR task:
• Implement internal relation and align employee with company goals: organize internal events and evaluate the efficiency; plan and execute internal communication on different channels; review company regulation and reward policy.
• Coordinate TA team for recruitment: research and evaluate headhunt service, negotiate service contract, prepare onboard process, build up source of bilingual JDs, interview junior staff and assist
CEO in interviewing high level position. Support Account-Finance Department:
• Organize workshops to train all departments to acknowledge about valid invoice, strictly check payment requests to minimize unallowable expenditures.
• Coordinate with Account dept to keep track other depts follow up closing schedule and double check all the statistic.
• Record BOD’s expense and check debit note, make payment requests to all the activities related to BOD and their suppliers.

(The foreign joint venture company exports agricultural products and operates warehouse service)
 Warehouse Operation:
• Manage outsourcers to process import and delivery procedure.
• Direct execution to Warehouse team to manage inbound/outbound process, keep control on WH’s
safety & high quality standard; control and make report about WH’s service cost to GD.
• Manage WH’s service and make debit note/quotation, keep track payment of the customer.
• Translate or make bilingual version of all documents relating to WH’s service; be trained in
Singapore and build up SOPs for WH’s service.
• Report to the customer logistic process of every containers/delivery order and stock regulatory monthly, solve all problems related to customer service.
• Represent GD to work directly with the customer and suppliers, serve customer at high level of professional and satisfaction.
• Recruit and train for replacement employee.
 Assistance for GD:
• Secretarial: Make car reservation relied on GD’s schedule; record travel expense and make
payment request for GD; notarize legal documents; review contracts/documents; do paper works
(scanning/copying/typing,..); assist and prepare for GD’s internal & external meetings,…
• Business Development: Search for new customers and make quotation of agricultural products weekly; assist GD on meetings and support paper works, research potential vendors and conduct market research.
• Marketing: Assist on making branding materials including brochure, website contents, name card,…
• Internal communication: support to organize company’s events; conduct internal employee survey and do report,…
