Administrative Assistant
Main responsibilities:
- Receive incoming calls and transfer for the correct employees.
- Get request and support to book hotel rooms, meeting rooms, and
shuttle cars for guests. Welcome visitors, make impression, good
sympathy and ensure customer satisfaction.
- Receive letters, postal items, samples, invoices and deliver to the
recipient in the fastest way.
- Send letters, postal items and samples to the correct address and
time.
- Arrange transportation for business trips.
- Prepare a list of employees working overtime and assume
responsibility for booking shuttle cars, assist in maneuvering vehicles in
the arising cases.Receive information from customers or employees,
answer questions or guide them to the right people who can assist.
- Update the employee birthday list, prepare birthday cards and order
birthday presents for employees.
- Check carefully the papers and signatures to see if they are valid with
the authorization letter certified by the Board of Directors.
- Seal the following documents: Import - Export documents (Packing
list, customs declarations, sales contract, ...), Accounting invoices
(Commercial Invoice, invoice adjustment sheet, debt confirmation ... ),
VAT invoice,...
