Providing support to Vietnam Country Manager/Chief
Representative, Managers and employees, assisting in daily office
needs and managing our Rep Office’s general administrative,
human resource and financial activities. Duties of the position
include collaborating with HR service and legal companies to
manage & monitor all HR specifically: Recruitment, Employee
Relations, Payroll and related compulsory procedure. The HR &
Admin Manager also maintain daily operations, the office
procedure, policy up to date and manage financial activities to
ensure the office expense against the approved budget.
Manage and update HR procedure and program:
• Ensure employee personnel files are completed, kept in the
HR cabinets and up to date on the system.
• Maintain employee-related databases, reports and HR
procedures that comply with labour regulations.
• Manage and coordinate HR and Payroll service with new
employee, monthly payroll, procedure and job termination.
• Manage and coordinate compulsory reports with HR service
and legal companies to submit authorities (relate to HR, visa,
residence card, work permit and Rep Office operations).
• Manage and coordinate training program and workshop.
Recruitment, Contract and personnel management:
• Develop and manage professional recruitment companies,
service contract and job posting.
• Manage recruitment and onboarding process.
• Manage candidate database.
• Provide orientation training and maintain welcome service
to the new employee.
• Work with Chief Representative to ensure appropriate and
timely actions for performance review for probation period,
labour contract agreement, promotions, and annual
performance evaluations.
• Develop and implement plans for contract reviews, renewals and
terminations;
• Manage labour and outsourced service contracts;
• Coordinate and consult with Chief Representative and Mangers
on employee issues.
• Manage the organizational progressive discipline system.
• Provide salary information summary for annual salary review and
budgeting.
• Manage and develop employee training and team building.
General Office Operations Management (Administration):
• Manage daily administrative operations of the office and assist all
department in resolving problems related to the day-to-day
operations.
• Oversee the management of office supplies, sourcing services
(office cleaning, car and driver) and facilities maintenance.
• Organize and arrange travel weekly plan (transportation,
accommodation).
• Ensure that administrative office procedures and accounting
established standards are adhered to and maintained in all
aspects of work and all employee.
• Manage and organize Rep Office events and social activities.
• Manage office space, leasing contract and renovation.
• Manage and develop Office policies, procedures.
Manage Office expenses and Budget (Finance):
• Responsible for keeping accounts, office records and undertaking
general accounting task. This includes the management of office
utility bills, expenses, bookkeeping and filing the budget tracking.
• Manage cash flow to maintain payable for office expenses,
including tracking cash book and monthly report is submitted on
time to the mother company’s Finance Team.
• Overview office expenses and summary for annual budgeting.
